    Bookkeeping mistakes you should avoid as smart business owner

    Hi,

    2022 is here.

    Its new beginning. Its also closing of 2021 and tax time.

    Here is short write up on this topic.

    I have seen many business owners doing same type of mistakes while managing or getting managed the books. Lets check out the few mistakes.

    Not using accounting software:

    This is very common mistake. Not using accounting software and using excel for bookkeeping .

    Do not do that. Excel is not the alternative of bookkeeping software.

    There are free or low cost alternative available for your small business accounting needs. I suggest wave or zoho books to begin with.

    When budget is not problem and you are looking for more features, Xero / Quickbooks should be your choice.

    Not managing books monthly or quarterly basis:

    Why should I manage books every month? Who will do that?

    Smart business owners will do that.

    There are multiple benefits of managing books on monthly basis.

    1. You get your books up to date on time.
    2. You can record transactions accurately as it is easy to recall nature of transaction at month end ( rather than year end).
    3. You can use the monthly data to check business performance.
    4. You can correct financial mistake on time before it affects your business cash flow.

    Not separating personal and business transactions:

    Unless you have big issue opening business current account, you should have separate bank accounts for business and personal needs.

    This removes lots of confusion and you can avoid hassle of separating everything at year end.

    Top of it, you can keep an eye on business money. You think twice before spending business money on personal usage.

    Not considering sales tax:

    Even if business is registered with sales tax, many business owners do not care to maintain receipts or records to claim back VAT/ sales tax on purchases.

    This results into high sales tax liability and loss of money.

    Not managing the relevant documents:

    Everything starts from small habit.

    Maintaining each and every receipt is overwhelming.

    However, mobile phones make everything easy.

    You just need to take snap of receipt. Software such as Xero or Quickbooks or Zoho gives special functionality to store the expense receipts.

    How many times do you check your phone for reddit or insta?

    Then why should you not care for your finance and use one accounting app?

    Doing bookkeeping their own:

    Typical response - I am doing my bookkeeping my own. Great !

    Do you have that time?

    Do you understand accounting fundamentals ?

    Are you closing your books on timely basis?

    Are you submitting your taxes on time?

    If yes, great. Else get help. It will not cost a ton and it saves your time and money .

    Not having budget:

    It may be simple excel sheet or budget prepared in software.

    Having monthly or quarterly budget and review it periodically is small but effective financial habit.

    This will help you in personal and business finance.

    However, the effectiveness of budget is in line with accuracy of books.

    Getting help at end time:

    In stead of booking bookkeeper or accountant in advance, Many business owners ignore their accountant whole year and then when he is booked, they need his help!

    Contact your accountant before one month in advance and book his consultation.

    That will reduce ton of headache.

    He might give you some tax tips.

    Not getting help of CPA:

    Filing the return of your own is great.

    However, I suggest get consultation of CPA periodically. He can help you with setting up good accounting practices and developing tax saving strategy.

    I know these points are very common.

    However, we have tendency to ignore common things.

    I Was Denied Job Opportunities Because I Owned A Business

    So to start this story off I want to say that I went to school for 4 years to study marketing, and during this time I started my small SEO business. For those of you who don't know SEO is the process in which you essentially help a company rank higher on Google by optimizing their website. Now why this is important is that I started my SEO business to help me get a foot in the corporate world by really helping me understand the problems businesses face in today's world and even more so to get actual results and references I could put on a resume.

    The first year of my business was slow and I was able to produce some results for my clients but I wouldn't necessarily call it a full-on business. Now fast forward to the second year where I've really begun to see the vision for what this business can be and the SEO work has picked up but I've also begun applying for jobs for post-graduation for something more stable. A lot of companies were interested in the skills and things I had to say but when it came time during interviews they would always ask me about my business saying things like "So what about this SEO company you run?" and I didn't think much about it looking back on things but I would always give an excited response explaining how well things were going which was then always followed with "So how are you going to balance your time with a full-on business?". This was a fair question but for me, it had never been a problem despite being a full-time student with extracurriculars and so I explained that and how during the time I work for them they have my full attention. After I explained it I would always get a negative response/feeling and many times I could feel that's where things turned and I wouldn't be receiving a callback.

    One time however I did receive a phone call back from a marketing company saying they were interested in hiring me and that if I did work for them I would have to close down my business and if fired or if I quit I couldn't work for another marketing agency for 6+ months. It was one of my only offers in the marketing industry and I decided to turn it down as I have more faith in my business than a job that puts restraints on me. So now I find myself grinding away at this business as my full-time job and hopefully, it pays its weight in gold one day while putting me in a position to really help those businesses in need but to any of you who find yourself in this position don't give up on your dreams and always bet on yourself.

    Morning Routine

    As a 29M Realtor / Entrepreneur that aspires to reach fatFIRE I want to know about your morning routine is and how important it is/was to your success.

    I recently implemented my morning routine:

    No touching phone or reading notifications

    • 5:30-6:00am - Wake up, hydrate, shower, stretch. • 6:00-6:30am - Pray, meditate, vision board, affirmations, visualization, scribe (10 things I'm grateful for and how I want my day to go) • 6:30-7:00am - make coffee and read. • 7:00-7:30am - check phone, add daily tasks and start working • 8:00-10:00 am - keep working/ work out.

    What are the issues with Meetup.com/other friend or group finding apps? or things you just wish were different?

    Quality Marketing for on site business

    Im constantly looking for upgrading my marketing for a tattoo studio brand we developed in Germany. Here are some ideas and questions. Let me know your thoughts.

    1. I had the idea to print a high amount of DIN A4 papers with a simple slogan and a cryptic looking symbol of us (its our tattoo style). The slogan could be: This story gets under your skin. These sheets should be covered everywhere near the city center. Especially on traffic lights where people walk by. The QR code guides to our website, maybe with a special discount. What do you think? Improvements?

    2. As we don't have a lot of budget for now I really have to carefully spend the marketing amount. Currently its 80 € for a service which is listing us on 40+ important websites, branch books etc. How to subdivide the rest of amount. I think realistically its 500 - max 1000 €. I thought about an google budget for 5€ / day which would be 150 € a month. 200 € For instagram ads? Other ideas or improvements?

    3. We want to do social events like painting with children of parents who can't learn them or can't afford them to learn it. This helps the children and us stand out from the rest. Shaping our vision and brand identity. Similar ideas? We also thought about free tattoos for breast cancer patients (to help hide the scars etc.) or free cover up on nazi tattoos. But not feeling that happy with these ideas, there are some better things for sure.

    4. We thought about cooperations with other local businesses here. A cool cooperation could be that we are designing there packing stuff. For an example we are creating a design with our "ornaments" for the burger shop the next door.

    5. Another idea is to book a big billposter campaign together with one other brand and one influencer. We are not that big enough to be interesting for other brands. But we have some contacts for bigger influencers who could be interesting for these brands. So just for example. We are doing a shooting with a tattooed model drinking Coca Cola. Its promotion for our tattoos and reach and promotion for Coca Cola as the model is the influencer. Feedback or improvement ideas?

    Have a lot more ideas but I want to go step by step as I know myself and I can easily get stuck in too many projects. Any feedback and discussion is highly appreciated. Have a powerful start in the week guys!

    How I found my first 50 users for my SaaS

    Hello r/Entrepreneur! I want to share my story of how did I get started building my userbase, hoping that it's useful to someone.

    A bit of context: I'm the founder of Upneko, a codeless crypto builder that lets you build and deploy your own currency. I'm a technical person and I always worked as a Software Engineer, so my marketing skills are surely not my best perk.

    I launched multiple products and I always failed on the marketing part, but this time it seems that I'm getting some traction. I focused less on the dev part and more on the marketing part. I finished the MVP one month ago and then I immediately started marketing my service.

    I tried different strategies, some were better than others.

    Let's start with what failed for me:

    - Optimize SEO early on

    ------------------------------

    I lost a lot of time with SEO optimization, I wanted to make it perfect. Unfortunately, I got only 3 impressions and 1 click from organic traffic for the entire month. I think that SEO is still very important but not early on because you need to build a lot of backlinks to your website, and this takes a lot of time. If I went back in time I wouldn't focus on on-page SEO optimization as I did and I would focus on other strategies.

    - Cold Mailing / Press

    ------------------------------

    I tried to reach out to ~50 news outlets about crypto, from small to big corporations. Never had anyone reply to me. Also, you'll need to build a social community before you start emailing or you'll end up marked as spam.

    - Twitter

    ------------------------------

    I never found users on Twitter, but I found other people like me that were building a product. It wasn't good for acquiring users but a good tool for networking.

    - Google Ads/Facebook Ads

    ------------------------------

    Unless you have a good initial budget, I think this is a waste of resources early on. It works until you stop pouring money and it doesn't help with the organic growth. Better to focus on other strategies first.

    Finally what worked:

    - Discord

    ------------------------------

    I was surprised by how many users I found on Discord. ~80% of my users come from here. Discord is usually used by gamers to chat and talk while gaming, so not exactly my niche. But I found out that there are a lot of non-gaming communities, even crypto ones. So I created a Discord server for my service and I started looking for other servers that were focused on crypto. I talked with the owners to see if they were interested and if I could also talk about it on their server. Finally, I used tools like Disboard to increase organic traffic to my server. I also found a lot of users willing to beta test.

    Online Forums

    ------------------------------

    ~15% of my users come from here. I searched for forums where I could find my niche and started talking with people, building connections. Sometimes I found that people had a problem that could be solved by using my service, so I suggested trying it out.

    Reddit

    ------------------------------

    You have to find relevant subreddits and avoid self-promotion in most of them. I have found some users, but it's very hard to talk about your product without breaking any rules. If you are able to give value to readers with a post, for example by talking about your experiences, I think this could also be a great place to find users.

    Ordering from Alibaba with DAP or DDP? Are there some unforeseen costs that I should be expecting when the oder arrives?

    I want to start a small business because no one wants to hire a fresh graduate in a foreign country that doesn't know the mother tongue fluently. (this is in Europe) So I decided to order some products as samples to see the quality and to use them for marketing (the products are really small). But another friends of mine told me one of their relatives ordered from alibaba without having a business and they had to pay a fee when the products got to the border.

    I researched a little about DAP (because the suppliers use this trade terms), but I am still unsure if I will have something extra to pay when the goods arrive at the destination or if everthing is only paid on alibaba. Can someone who ordered like this explain to me if there are other costs there, please? Thank you!

    P.S. If I order from AliExpress, is the same thing with the DAP or DDP, or there wouldn't be any import fees?

    Does anyone else find corresponding with people to be the most exhausting part?

    I design and sell 3D files online for a living and, generally, I love it - literally monetised my hobby and am now contributing to a hobbyspace I was obsessed with from my teenage years.

    But as I've got more successful and better-known within my niche, and sold more products, the weight of correspondence is just getting much heavier.

    I'm introverted by nature, prone to anxiety, and I don't know why but it just takes so much energy for me to do something so basic as answer correspondence. I launched a new project last week and it was honestly taking me about 1.5 hours just to get through my messages.... and by the time I get to my actual work I just feel drained.

    I try to limit correspondence to just first thing in the morning and last thing in the evening but often I can't even finish and then messages go unanswered for a few days. Or, even worse, I read an email, can't muster up what to write, and then the next day forget about the message because it's marked as "read."

    Anyone else have similar experiences? When a lot of people think "Entrepreneur" I suppose a fair few might think of slick salesy types, or "people people," but I'm sure this must be a fairly common problem among designers/creatives?

    TL;DR - How do introverted small-time entrepreneurs deal with the "social" side of work? For me it's a nightmare to imagine ever managing employees or attending conventions and the like. Though I do love customers and get a lot of genuine support from them, I guess most of the pressure just comes from inside my own noggin.

    Digital Marketing is so saturated - or do I suck at sales?

    I've been running a digital agency for a year and a half now in the UK and I have pretty much relied on referrals. I am constantly looking at new ways to bring in clients and find leads, but every method I have tried hasn't worked.

    - Email Outreach

    - Instagram & Facebook DMs

    - Facebook & Insta Ads

    - LinkedIn Messaging

    - SEO

    We can get results for our clients but not ourselves? The market in the UK for digital agencies is extremely saturated. While our SEO is fantastic we still rank 19th-30th on Google purely down to them having more backlinks and their SEO is better of course.

    I'm slowly starting to run out of options and lose motivation... I hate being bored, I love being busy and having lots of work to do and chatting to clients, but right now it's so ******* hard.

    Anyone got any tips?

    Social Media Management

    Kia ora everyone,

    We are a small 3d printing and boardgame company Black Forge Games. We have recently had 2 significant kickstarter successes and with only 3 full time staff we are finding it difficult to keep up and manage our social media outlets Facebook, kickstarter, discord, etc. We were managing it well until recent features online and at large conventions overseas. I am looking for some tips about how to manage these avenues:

    What's the best way to prioritize the messages? Are automated responses and or generic responses to queries worth setting up? Are bots useful for social media to assist with easy queries? Is it worth me reaching out to bring someone in to help build a good structure for our different platforms?

    What considerations do I need to use my credit card as a business service to customers?

    If I started a business to allow customers to use my credit card for a fee, are their concerns I should be aware of? Example: Customer wants to buy $5 shirt. They pay me $10 to use my credit card and I pay $5 for the shirt, the $5 covering my income tax and profit.

    Is this just a basic business model or are their other credit card licensing or legal concerns that I might not know about? Thanks!

    How to buy Youtube video copyrights from owners?

    I am planning to buy the copyrights of multiple videos from different owners on Youtube for my product. I will be contacting them personally on the terms as well as the amount offered.

    As for the legal side of things, is there a standard contract for transfer of digital copyrights for buyers and what should be involved for eg. Video clip with time stamp images or others.

    What are the standard terms involved and should be considered. Can I just hire a freelance lawyer from fiverr for this job? Thanks

    So my web store is going live early next month.

    My current marketing strategy is to buy Instagram promo from pages related to the niche of my clothing's graphics.

    My question is, how can I buy ads so my web store pops up on Google and YouTube for specific demographics? Like is there somewhere I can pay to have my site advertised to people who search certain keywords and topics? Where do I get started with that?
