Templates That Can Make Working From Home Fun and More Structured Posted: 26 Aug 2020 07:25 AM PDT Working from home is both fun and difficult, although you can remove the tough part as long as you acquire some structure. It's hard to be productive when you're in your most comfortable space. I've been managing my business from home even before the pandemic, and I can share this set of processes that has helped me create an efficient daily routine. Whether you're navigating the new normal or just struggling to be productive in your existing WFH setup, these templates for different business aspects could help you get things in order:
I came across this very helpful Business Requirements Template which allows entrepreneurs to not only organize their processes but to improve their outputs as well. I suggested this to a friend of mine who's still running her hygiene products business during this crisis. According to her, she loves how the template allows her to avoid differences between what she needs to produce and what's already designed. She said that being able to evaluate what exactly is needed in the market and the best solution of it through a this checklist is just game-changing.
This COVID-19 crisis calls for a lot of changes in businesses. I, myself had to make a lot of adjustments in my business due to the restrictions and changing consumer behavior. I used this SIPOC Template to identify which elements of my business were relevant to the process transformation I was trying to make. This template works by first, determining the overall processes within the working system. Next, it gives you a general perspective of it, sets up a structure for complex working systems, and sheds light on issues or weaknesses in the current processes in your working system. Having this template has made my process improvement quick and effective.
Now is the best time to start examining your business for its weak points, strengths, the threats around it, and the opportunities you can take. Using this SWOT Analysis Template can cover all those important bases for you. Some of my entrepreneur friends and I have benefitted a lot from this tool. It's amazing how a checklist-form analyzer can give so much insight into your business performance and help empower your operations, especially during these tough times.
Failures are inevitable especially at this time when everyone's still doing a trial and error in the new normal. As a perfectionist, I didn't want any room for those, so I used this FMEA Template or Failure Mode Effective Analysis that lets you know which failures must be prioritized so your processes can have better accuracy.
Using this Standard Operating Procedure Template makes it easy for you to create your own standard operating procedures. This was very helpful to me when I was creating a new SOP for the adjustments I've made in light of the pandemic simply because it's a no-fuss checklist. A friend of mine is one of the frontlines braving the risks of the virus during this time. I suggested this SOAP Note Template to him without knowing exactly how it could help him. A couple days after that, he messaged me to say that the checklist has made it easy for him to have a more structured way of assessing his patients. According to him, following the detailed process has taken a load of stress of his shoulders.
I have a cousin who manages a neighborhood restaurant that now only does deliveries to avoid risks. I sent her this HACCP Process Template to help her out, and according to her, it actually served as a guide for bringing her business to the new normal. The template includes all important safety hazards that must be prioritized (biological, chemical, and physical safety). It's a good template for food-related businesses with or without the COVID-19 crisis.
Safety hazards, quality control, and avoiding operational and design failures in the manufacturing businesses can all be handled in this HAZOP Hazard and Operability Study Template. It's an all-in-one process guide for manufacturers. Implementing Change Using Change Management Models
This Lewin's Change Management Model Template helps managers implement major organizational changes in their company exactly the way social psychologist Kurt Lewin designed it in 1940. The 3-phased model is a go-to for many companies, including my small business.
William Bridges developed the Bridges Transition Model Process which focuses on the emotional journey employees have to go through as the organization undergoes a major system change. This template accurately leads companies through its sensitive stages. I know entrepreneurs who prefer this process since it's very employee-centric, which strengthens the organization through the major changes they have to adjust to.
I used this change management model before since I wanted to make sure the entire company goes through the transition step by step and with proper reinforcement of the motivation to do it. It's called the ADKAR Model, and this is the template I used to successfully implement it.
The 7 Ss in this process--strategy, structure, systems, shared values, style, staff, and skills each have very broad scopes. In order to make sure you cover all the aspects for each of them, use this The McKinsey 7-S Model Template. I'm not a fan of this model, but when I saw this checklist, I got caught up in it and started considering it for future changes in our company (maybe when it scales)
The Kotter's Change Management Model focuses on creating a sense of urgency to motivate the employees of a company to go through the needed change. Using this template, companies can create a sense of urgency carefully or without any tension.
As someone who's also studied Psychology, I can say the Kubler-Ross Change Curve can truly work for different companies. Its use of the five stages of grief--denial, anger-, bargaining, depression, and acceptance--may be a little sensitive but that can be managed. I checked the Kubler-Ross Change Curve Process Template and I can guarantee it's the most accurate and detailed checklist for this change model out there.
The Nudge Theory is indeed more of a theory than a change management model. The nudging approach to get employees to get onboard the system change is not as solid as the other models. However, this template gives an interesting set of steps that make this theory worth trying. Measuring the Impact of Your Implemented Change
This is somehow similar to the Kubler-Ross Change Curve since it's also a 5-stage grief process. The only difference is that it's specific to employee grief that's predicted to be felt during organizational changes. This Satir Change Management Model is probably the most detailed and complete guide out there if you want to explore this change implementation measurement process.
This last process on the list stands for plan, do, check, and act. This continuous process of improvement following the implemented change is a cycle that may be hard to follow without knowing what needs to be identified, tested, and assessed. This PDCA Cycle Template offers a step-by-step guide for this cycle so you wouldn't have to figure it out yourself. Everything you need to do and know about it is there. I certainly find all these templates life-changing, especially now that digital tools like these are the ones that can help us he most in our businesses. Nearly all the traffic is through organic search and it has persisted through several Google updates. I work about 10-15 hours/week on it. I was set on growing it into a six figure business, but a couple of things give me pause:

But once it's established and running well, routine and frustration can spark ideas about pursuing other options (read: leaving). I’m an entrepreneur, and I feel like I’m drowning. Posted: 26 Aug 2020 11:40 AM PDT I've been self-employed for almost 4 years now. I earned a degree in Engineering Physics in 2017 and the job search was fruitless. I decided then that the soul-sucking nature of corporatism I was now fated to join was not why I chose engineering as a career. It was the nature of deconstructing things, figuring them out, learning and improving the nature of technology and the universe. Not stifled growth in a company that only cares about numbers and sales. So I decided for better or for worse, I would figure my way of living out for myself. To keep this short and simple, my primary source of income has been a food distribution service (wholesale to retailers). I know it's a far cry from engineering but it's the most viable income I've found since graduating. The growth has been satisfying, I have 3 product lines and over 80 clients. I have several other ventures in various stages including an entertainment business and being a freelance musician, which comes in at the #2 spot for income, but the food dist. Accounts for 80% of my total revenue. I've been told I'm doing a fantastic job by all accounts, no complaints from clients and no reason to be alarmed. My finances tell a different story. Over the last few months the culmination of Covid, delegation, shrinking of my industry and major industry shifts have all resulted in my bank account slowly shrinking. This week I'm unable to make payroll and I don't know what to do. I'm honestly terrified. I have these people depending on me for their income. We live in a relatively rural area so for many of them working for me is as good as it's going to get, and I love providing work for people and learning how to grow as a team. The distribution industry is more than likely fated to a slow death over the next few years, as manufacturers choose direct-to-store more often over time, not to mention the looming threat of automation and other major societal shifts. So my situation isn't going to improve. My other ventures aren't exactly growing either, and everything I've tried over the years has been relatively fruitless. I would like to blame that on where we live but I'm sure it comes down to my insufficiencies at the end of the day. For the first time in my life I feel completely trapped and I have no idea what to do about it. All scalable business ventures I pursue seem over-saturated. I don't live a lavish lifestyle, either. I have a very simple set of expenses, the bare minimum my family of 4 can withstand. I feel like I'm failing them, and soon I may be unable to provide for them at all. And then what, move my whole family in with some relative that probably isn't any better off? All this is driving me to some pretty dark thoughts, and today to be honest I'd like nothing more than to crawl in a hole and say fuck all of this. I'm not even sure why I wrote this. To vent? To show an example of myself? To remind everyone that being self-employed really, really sucks sometimes? To ask for help? I guess if anyone has any legitimate advice or help regarding a viable, scalable business venture, I'm willing to give pretty much anything a shot right now to make it through this. Went to ads and tried using an already-running ad by selecting "Use existing facebook post". To my surprise, I see a little alert box saying "This post can't be used for ads on instagram". This confused me because my other adsets were working fine, but they are also using that same ad. Does this mean that my adsets were never actually running on Instagram in the first place? Baseball Card Flipping Project - Part 16 Posted: 26 Aug 2020 06:20 AM PDT Hey guys! It has been FOREVER since my last update and a ton has happened. Sorry for the long post, but hopefully some people appreciate a detailed dive into everything. A really really really brief recap of the past fifteen parts I started in December of 2018 with $1,165 with the goal of making $10,000 in one year. In 2019, I had bought and sold over $40k in baseball, football and various sports trading cards. I had a few great successes ($1,165 into $3,085 before fees - $2,771.20 into $6,200.10 before fees - $1,086.68 into $3,190.54 before fees) and a few duds. I generally sell my cards on ebay, but utilize auction houses every now and then. The biggest bottleneck I face is submitting cards to PSA (a third party grading company), a card might have a 2-4 month turnaround time. To successfully "flip" you need to balance some of these purchases with shorter flips. In 2019, I ended with a final profit of $9,262.28 – a tad bit short of my goal. In 2020, my goal is $20,000 (fitting). Using my margins from 2019, I would need to sell around $85k in cards. It has been an absolutely wild three months for me, I found out I'm going to be an uncle, I got a cat and I decided I was going to propose to my girlfriend this weekend! I have still been keeping up with this project, the prices for baseball cards have absolutely skyrocketed over the past couple months, so there hasn't been the same amount of buying as usual. I am going insane with working from home and trying to keep my head above water with everything, but flipping has been (at times) a nice escape. I am fortunate enough to be flipping something that I am passionate about, baseball cards, so I am able to enjoy this and see a lot of neat cards along the way. In that spirit I have decided to begin keeping some cards for my personal collection as I go along. I read somewhere an interesting method of collecting, reducing your collection to 25 cards. I wanted to give it a shot with a bit of a twist, I want to keep a collection of 25 cards, but still make a profit along the way. So a couple ground rules I set for myself:
So, without further ado, here are the first four cards in this project. The 1949 Berra came from the Yogi Berra lot I bought from SCP in January. The grades finally came back last week and I did very well on a few cards, so I felt that I deserved to spoil myself a bit. The 1949 Bowman set holds a special spot in my heart for me, my best flip ever was a group of 1949 Bowman cards I purchased for $300 which included a Jackie Robinson rookie that graded PSA 8! I sold it for over $10k. This Yogi Berra card is well centered, nice registration and a great mid-grade example of a baseball icon. I love it. The Ted Williams card and the Willie Mays both came from the December Heritage lot that I had purchased. PSA took FOREVER on this order. I was a little disappointed in the overall grades, but am confident I will turn a profit. The 1956 Topps Ted Williams is such a cool card and a staple in post-war collecting. The Mays I always liked – it's a little beat up, but the centering is near perfect and the color looks sharp. Finally, I nabbed the 1969 Yaz. This was mostly done because I love the set. 1969 Topps was the last set to feature Mickey Mantle, something that I think goes underappreciated. The set design has always been pretty crisp, it has a couple great rookies and great all-star rookie cards. I'm a fan. Purchased

PSA Update Here is a link to the Google Doc with the status of all of my PSA cards. The spreadsheet also includes a summary of where the project is. PSA is still extremely backlogged. For this project, I have 276 items with them. Luckily I was able to get quite a few cards back from them recently! As I previously mentioned, I received back the Yogi Berra cards I sent them in January and the Heritage cards I sent in December. Overall I am happy enough with the grades. I think they were fair on the Berra cards and they were rough on the Heritage cards (they were separate orders). I already listed or consigned these cards, so I will have updates next month on these. Below is an updated summary: For items purchased in 2019 (denoted with a "*"), the "cost" column represents the ending 2019 inventory valuation. For items purchased in 2020, the cost column is the cost. In the Google Sheet I included an in-depth P&L with full results and 2019 details.

FORECAST My goal is $20,000 profit for the year. Right now I'm $15,307.75 – PSA has dramatically slowed turnover, but I am definitely on pace to hit my goal, gross margins are up in 2020 compared to 2019 (56.1% vs. 43.8%) and net margins are also up (34.5% vs 23.1%). Sales more than doubled since the last installment and with orders finally coming back from PSA, I should continue to see steady sales. I look forward to continuing to update everyone on this. I'm working on a hustle on the side, however; its getting more and more difficult to dedicate time to it because i'm getting burnt out of my current jobs (I sorta hate one and tolerate the other). This is obviously, an excuse and i'm aware of that myself. However, my question is, when or if ever, is there a time where you can effectively cut your hours in exchange to dedicate more time to your business, while at the same time your current day job will keep you afloat, only by living a more frugal life style. With the funnel that we have, we have a problem. Our customers are kind of leftover at the end, and we're not thinking of them the way we should be. They have the power to be our most influential marketers or most helpful salespeople, and our most beneficial customer success people because they're on the ground using your product, telling other people about it, thinking about when you buy something online these days, rarely do you not look at the reviews about it. And those reviews are customers advocating for them. The product is not advocating for the product. And it's a potent thing to activate your customers into being advocates for you. So we dropped the funnel a few years ago, and we said, you know, modern businesses, particularly in a product-led growth world, they use this flywheel approach. Does anyone who uses Shopify for a service-based business have any app recommendations? Posted: 26 Aug 2020 11:55 AM PDT For my coaching services, I typically go through a process of first having clients schedule a free consultation/ initial coaching session with me so that they can learn more about executive coaching and make sure we're a good fit to work together. From there, if they'd like to continue the coaching process, I get them scheduled on a recurring basis and send out an invoice to be paid before the next coaching session. I'd love to automate this process and just send prospects to a single link and automate this flow a bit better so that there's not so much back-and-forth emailing, and clients don't have to bounce around between invoices, calendars, email, etc. I want to make the scheduling and payment process as smooth as possible. Good advice for someone looking to take their first steps as a business owner. Let's say you saw something from China that you thought would be a hot seller in the USA. Instead of gambling on your gut feeling, why not see how much demand there is by posting it online? And if someone contacts you, you may have just got a lead for a future sale. There is a lot of opportunity now with all the local online marketplaces. I have recently run into a couple of products that if I ordered from China, I'd double my money fast.
