    How to handle consignment customers

    Posted: 28 Nov 2019 06:07 PM PST

Sorry if this seems very basic, but it is something we have struggled massively with as a company.

I've tried finding more information on this online, but, considering how much consignment is use in business there seems to be a scarcity of resources on how to manage it. I'm hoping y'all can assist me or point me in the direction of where I can learn more. Fundamentally our problem with consignment boils down to our struggle in designing a workflow on how to manage consignment. Our struggles range from the beginning at the documentation stage, thru to invoicing.

    • What kind of documentation should we have when we drop off product at a customer. I don't think it should be a sales order, as the product is still owned by us. We've tried consignment notes in the past, but it has gotten messy, and customers get impatient when we take long to fill out the form manually and need to write out each sku . A lot of times the form is also not readable by the office due to messyness. We also can't use an app/form as many customers are not tech-literate and prefer to do everything on paper.

    • Inventory:- Most of our sales is done outright, We get a PO, we create an So, and do the nescessary invoicing, at which time inventory is deducted from our system. The best option I've seen online is to keep each consignment customer as a "warehouse" in our inventory/accounting system (quickbooks) doesn't allow for consignment, so we have a separate inventory item for each warehouse. I can see this becoming very cumbersome when we have 50 or 100 small consignment customers

    • Monitoring of customers - again, not all customers send us sales reports of what they've sold. I'm guessing we need to have a dedicated person/sales whose focus is on handling these consignment customers, to monitor and invoice the accounts?

    • If anyone could share a workflow on how this might work I'd appreciate it. This is what I have in mind.

    • Customer agrees to carry goods -> Consignment note made -> Customer recorded in google sheet -> sales monitors stock changes -> so/invoice made against stock changes -> goods restocked?

    • i also have questions about how some of you might handle lost/damaged goods?

I purchased some items from work & paid by check. The accounting lady Googled my house. I was so upset and felt violated, so google blocked my house for me. I just heard that she recently did the same to a Hollywood star that purchased some items from us. Am I wrong to think this is wrong?
