Posted: 30 May 2019 05:13 PM PDT I am in desperate need of some help and decided to turn to good old reddit. SO I just got hired for a small business at first as a secretary, then the owner said he needed more of a personal assistant to help him with pretty much everything since it's just him and his wife running the business. I questioned him why it has been hard to keep anyone to help them. Well he showed me the way they operate and omggggg! Not only do they only keep track of their accounts through emails (like putting special labels on them) their quickbooks has 75k overdue in invoices. And there is hardly records of what has been paid and what hasn't. There are deposits not linked to any invoices, or deposits meant for multiple invoices but no record of how to split the deposit. Then I find the estimates closed out but not the invoices. When I look back to the emails I can't find if the customers were ever followed up with. I've asked them if i can create a system of my own to organize it all, but they don't want me to. They want me to do it exactly how they've been doing it, but I can't because of how all over the place it is. Can someone tell me what is the easiest way to fix this?? My families business is going to end with my father Posted: 30 May 2019 12:37 PM PDT First of all, I hope this is the right sub for my issue. If not I'd really appreciate a redirect. My family (father's side) owns a small construction business for more than 100 years by now. My father took it over from my grandfather about 19 years ago. We lived in a wealthy suburb and my families name was well known for the business. With my mother taking over the office work the business florished and had about 10 employees, before my parents divorce put an end to it 5 years later. My father is a great craftsman but with his lack in leading- and organisation skill he drove the business against a wall. (He wasn't able to manage his employees nor his customers correctly) Within the next three years all employees left or retired. By now he is completely alone, nearly 60 years old and got back problems. The money he makes of it is enough for making a living, but far from being the goldmine it was 15 years ago. As I'm going to graduate with an engineerings master in 2 years it is obvious that I won't continue the family business as a craftsman myself. On the other hand I don't want to see the business die because there is no one (except me) to take over. I really want to bring the business to new life after my father's retirement, especially with my grandfathers sad face in mind when he realised what's going to happen to the business he worked in his whole life. My first thoughts were, that all the customer files are still available (minus the ones who died, as most of them where/are older people). So no need to start all over again regarding this point. Furthermore there are a lot of connections to other construction businesses in our region (Painter, plumber, etc.) And I know, that there is the need of a foreman to take care of all the practical stuff I don't have a clue about. But otherwise I don't know where to start. Therefore I appreciate any information you guys got for me regarding the steps I'll have to take now and in the future to achieve this goal. I've been sending emails over and over again to them but they are not even replying. It's not a small client as well, it's one of the biggest food manufacturers in UK and Europe. What should we do? Questions Regarding Quotes in Service Contracts Posted: 30 May 2019 04:44 PM PDT Hello all. I have a contract with a state government office to do highly specialized work that ranges from equipment maintenance, to document control, and personnel training. I have held the contract for the last 2 years. It is side work, but pays wells. This is my first "independent contracting" gig that deals with a large faceless entity. I used to work for this office. I went back multiple times to work on equipment and attempted to train people to do the work. I did this for free for a while for multiple, logical reasons that I don't want to explain here, but just know it was in my interest to work for free at the time. I turned that into my current contract, and it has expanded with time. Originally i wanted to be paid a flat fee of $1X,XXX at the beginning of the year and then just work as needed on the said equipment as needed. I never wanted to itemize, because I didn't want people picking and choosing what I did and didn't do. The reason for that is the time it takes to do everything isn't much more than the time it takes to do less. So if they decided to neglect less important things I'd just be losing money for essentially the same time. After the contract was approved, i put in my first invoice for the full amount of the contract and they said I'd need to itemize what i was charging for. I explained to the boss, there was no itemized list that existed. He told me to make it work. So i came up with "arbitrary", but reasonable, numbers for the work i completed as i completed it and didn't get any push back. I believe this is primarily do to the highly technical nature of the work. The next year the very sweet secretary resubmitted my contract as it was with an addendum I wrote to expand the contract to include different types of equipment, consulting, and personnel training. Contract went through the same as the year before. I continued and everything is fine. This year the secretary is retired. The contracts people want me to submit a scope of work and a quote. Now the Scope isn't a big deal, but a lot of the things that were added to the contract are on an irregular and as needed basis. Some of them i can't actually predict until the situation arises, and some work is so abstract i don't know how to quantify it. THE QUESTION. How do i put this in a quote when the price of something could vary wildly? Easy option is hours, but I dislike this idea. Some things don't take that long, but are very difficult. Some are long and require entire weekends but aren't that hard. For equipment maintenance I charge per unit which is easily quantifiable. The beauty of that is some take a few minutes and a couple take an hour a piece. That's fine. I charge the same regardless. This being a state entity, i don't know if they have limits on dollar amounts they will pay for hours of work. What's the best way to do consulting or personnel training? Particularly when it can be a little haphazard at times. Example: DESCRIPTION UNIT COST Instrument 1 Maintenance $100 -Minor Equipment Repair $0 -Documentation $0 Instrument 2 Maintenance $150 -Minor Equipment Repair $0 -Documentation $0 Personnel Training for XYZ ? Document Review ? Field Work (One off situation) ? I really don't know what dollar amount to put for the "unit cost" because all these instances could vary wildly. Some of it is in person. Some of it is over email or on my personal time. The state has weird requirements and they are all kind of hard to put a finger on. It's almost like there is some internal meeting in their office, someone says "Only accept things that are XYZ and throw out the rest". What I would like is for this to be done on a "Project Based Fee" but what is the best way to write the quote? I really want things to stay as vague as possible. Legality of trading between businesses Posted: 30 May 2019 08:39 PM PDT Without going into too much detail, a larger business who I rent gear from owes me some money for a previous service I provided. I'm not worried about getting it, we're still within the net 30 invoice. I just got a gig where I need to rent some gear from them... If they pay me and I pay them then we're touched twice by the tax man, but if I simply discount the balance he owes me for a gear rental, then everything works out cleaner and with less paperwork and taxes. I have an employee I've been wanting to let go because of her being hot headedness, negative attitude, and not composing herself well in front of guests/coworkers. However, she got a neck injury (not work related) and went on unpaid medical leave to get surgery on it. It has now been around 5 weeks since she's last worked and I recently found out her surgery was postponed due to her not completely quitting cigarettes and she has to wait again to get it rescheduled. Any help for leads/helpful information? Hey people of r/smallbusiness Gonna' be frank here - I have barely a clue to what I am doing and I have been researching my ___ off (does this subreddit allow profanity? I'm going to leave it blank just in case) loads of information on business plans, marketing research, etc etc. I am currently attempting to create an esports org from scratch; I have friends who have knowledge in certain types of business and social media managing, but primarily I am going at this blind. I so far have the: -Name -Objective (esport brand, urban apparel, and entertainment) -1/6thish of the business plan complete -A mock outline of potential revenue/expense for a month -Beginning of a content outline -Partially done making a mock**** contract (this is mostly so that way I have a rough idea of what I am wanting to say so that way once I get a professional touch I can show them and say "around this is what I want" Honestly I think I have hit a point of "what do I do now/next?" Because I feel quite overwhelmed at points doing this. I don't try to heave through it hours at a time otherwise I feel myself being "drowned" almost. Any advice/anything to look into? I have a few sources to look into for VC's however I want my presentation to look as pristine as possible. I know what I want to do, I have the vision and a list of people that could fit the bill. I have all the decal materials and the online shop set up already, but I'm not sure how taxes and licenses work. I'm from California, how do taxes work here? Posted: 30 May 2019 08:09 PM PDT As the title states, I'm looking at starting my own lifeguard instruction company in Florida. I have been trained as a lifeguard for 9 years and have been an instructor for 3 of those years. I know lifeguarding very well and feel very confident in all of my skills and my ability to develop programming and train new people. I also already know a large amount of people who are interested in becoming lifeguards, but are unable to get into an American Red Cross class because they're so infrequent, or are turned off by the high cost of the company I am currently licensed through so I would have a decent base for business. I was looking over the laws for the state of Florida and Statute 64E-9.008(2)(a)2 of the Florida Administrative code says that I must use a Nationally accredited program or the equivalent. What would decide if my program would be the equivalent of the national program? Does it just have to teach the same things with the same detail? I am thinking about starting the company as an LLC to reduce my liability, would this be smart or is there a better option for something like this? I've been trying to set up merchant services as well but after the first merchant services rep stopped answering calls (found out he went on vacation), the 2nd rep has told me for 3 days in a row "I'll send over the merchant terms and call you back in a few hours" At this point I'm cutting ties but can't seem to find any bank that really sticks out from the pack. What aspect of your business' bank made you choose/stick with them? Edit: thanks for all the suggestions. When people would sign up for my newsletter they would get an automated email with a promo code. Now, nothing. I deleted the old automation and created a new one. Still the same issue. On other Holidays, like Memorial Day, I end up wavering. Someone will ask "Are we going to work on Memorial Day?" a month or so ahead of time and I have to look at the calendar and say "Uhhh, no?" and just decide on the spot. Other times for other holidays will depend on how busy we are. I need a good idea for my company. The point is to sell as much as possible. Post ideas and if it's good and makes money I will donate some of my total earnings to charity. I live in Sweden we have a charity called Musikhjälpen. If I do get an idea from reddit I will donate from my earnings 10% of 10k Kr wich is around 1k dollars. If we get 20k kr i will donate 20% and so on. I will make an Instagram account so it's easier to follow the progress and to show you when am donating the money to the charity. We recently got an accountant to take over our finances because neither of us have any idea what we are doing in that area. What should we ask of him or expect of him?
